CALL TO ORDER The meeting was called to order at 2:03pm. 2. PUBLIC COMMENT • Arts Commissioner Karen Brugato introduced herself and informed the Commission of the 2nd Annual Arts Explosion event coming up May 31-June 2. She also expressed interest in having a quarterly meeting of all the City's Commissions together to share and collaborate on ideas. Karen Brugato left the meeting after her comments at 2:07pm and did not return. 3. COMMISSIONER'S COMMENTS Commissioner Pratt informed the Commission that there are openings on the Civil Service Commission if there is any interest from fellow Commissioners. Chair Bostic noted that the Federal Way Senior Center happily received the Commission's holiday gifts back in December. Commissioner Dziak requested information on how to illicit speakers for the Commission meetings. She would like a focus to be made on free aid to seniors rather than sales to seniors. • Commissioner Volheim informed the Commission that there is a member of the Federal Way Community Caregiving Network that is also assisting the Commission in the distribution of the Senior Resource Guides. Chair Bostic left the meeting briefly at 2:18pm and returned at 2:19pm. 4. COMMISSION BUSINESS A. APPROVAL OF DECEMBER 13, 2023 MEETING MINUTES Commissioner Fields moved approval of the meeting minutes as presented; second by Commissioner Reynolds. Motion passed unanimously. B. APPROVAL OF DECEMBER 20, 2023 SENIOR COMMISSION CONNECTION MEETING MINUTES Commissioner Volheim moved approval of the connection meeting minutes as presented; second by Commissioner Foreman. Motion passed unanimously. Page 1 of 3 C. SUBCOMMITTEE REPORT - SENIOR HEALTH & RESOURCE FAIR Vice -Chair North informed the Commission that the subcommittee had met prior to the Commission meeting and was hoping to have Chair Bostic and Commissioner Dziak work on the sponsorships again this year. A change to the sponsorships include only 1 giving tier ($500) and the removal of speakers. She requested for Ms. Glandon to send an email to the subcommittees with the vendor and sponsor information, along with the application and letters. Commissioner Reynolds noted that the sponsorship goal this year is 6. Vice -Chair North then informed the Commission that she would be stepping down from the subcommittee in the planning of the fair, with Commissioner Volheim volunteering to step into the subcommittee. D. KCLS BASIC COMPUTER TRAINING & HELP SESSIONS UPDATE Commissioner Reynolds updated the Commission stating that he had spoken with Maggie Crelling at the library again and that there are currently some computer classes available, but that the advertising of these classes has been challenging. Commission Dziak asked if it would be possible to advertise senior events, such as this, on the Channel 21 rotation under the Senior Advisory Commission; Ms. Glandon to speak with IT regarding this. Commissioner Harvey noted that this would be a good topic for one of the upcoming Senior Commission Connection meetings. Commissioner Reynolds will bring flyers to the next Commission meeting for distribution. E. UPDATE TO SENIOR ADVISORY COMMISSION BYLAWS Ms. Glandon noted that this was a housekeeping item as it is the beginning of the year. She recommended 3 changes to the bylaws: • Item 6 - Quorum: to be aligned with the changes to the Code that were made concerning Commissions, changing the requirement of quorum to be 5 members to "majority of voting members". Commissioner Harvey moved to amend the bylaws in favor of removing the quota of 5 for quorum to a majority of voting members; second by Vice -Chair North. Motion passed unanimously. • Item 13a - Posting of Commission Agenda: changing the minimum 1-week to 72-hours. Commissioner Dziak moved approval to change the sending of the agenda to "no less than 72-hours prior to the date of the meeting"; second by Commissioner Harvey. Motion passed unanimously. Item 13c - Posting of Commission Minutes: changing the minimum 1-week to 72-hours. Commissioner Dziak moved approval to change the sending of the minutes of the previous meeting to "no less than 72-hours prior to the date of the meeting"; second by Commissioner Harvey. Motion passed unanimously. 5. STAFF REPORT Ms. Glandon noted the next date of the Senior Commission Connection was chosen as March 20, 2024 and that advertising for the fair and this event would be in the recreation guide put out by the Federal Way Community Center The subcommittee for the March 20, 2024 Connection Event consists of Commissioners Pratt, Dziak, Volheim (for the food), and Reynolds. Ms. Glandon also noted that she had signed the Commission up for a table at the State of the City Address in February. Commissioners attending and manning the table include: Chair Bostic, Commissioners Pratt & Fields. Councilmember Honda requested that any statement that the Commission would like read from the dais during the Council Meetings be sent directly to her no later than 5pm on the day of the meeting. 6. OTHER BUSINESS • Commissioner Fields invited the Commission on behalf of Diversity Commissioner Ron Walker to attend the Martin Luther King, Jr. Community Event on Monday, January 15. Page 2 of 3 • Chair Bostic informed the Commission of the Makerspace availability at the library and the different events that are available there. She encouraged Commission members to help spread the word. 7. NEXT MEETING - Wednesday, February 14, 2024 at 2pm in the Hylebos Conference Room. 8. ADJOURN - The meeting adjourned at 3:31pm.
